How to choose a corporate gift supplier for your company: a six-point test, and which kind of supplier passes it

Choose a corporate gift supplier by the occasion first, then test six things: the real product, the minimum order, how the logo is applied, the GST invoice, delivery to one office or many addresses, and who confirms the date in writing. A handmade maker such as Raajkosh (from 10 gifts, logo on tag, card or wax seal) suits festive, joining and client gifts; a merchandise printer suits branded apparel and gadgets.

Key takeaways

  • Decide the occasion first: it tells you whether you need a printer, a portal, a hamper company, a maker or vouchers.
  • Test every supplier on the same six points and get the answers in the quote, not on a call.
  • Buy one piece from the supplier's shop before a bulk order to see the real product.
  • Raajkosh: from 10 gifts, logo on tag, card or wax seal, GST invoice, one or many addresses, prepaid.
  • Drop any supplier who will not confirm the timeline and branding in writing.

Start with the occasion, then pick the kind of supplier

The quickest way to choose a corporate gift supplier is to decide what the gift is for before you look at anyone's catalogue. The occasion tells you which kind of supplier to shortlist:

  1. A merchandise printer if you need your logo printed on the item itself: t-shirts, bottles, bags, notebooks, tech accessories.
  2. A large gifting portal if you want hundreds of ready products, sweets and flowers, and one checkout.
  3. A hamper company if the brief is a curated box of food, dry fruits and small items packed for each person.
  4. A small maker if you want one handmade piece that people take home and keep, branded on the packaging rather than printed on the product. Raajkosh is this kind: hand-poured soy wax candles from Jalandhar, from 10 gifts, with your logo on the tag, note card or a wax seal.
  5. A voucher or rewards platform if people are spread across cities and you would rather they choose for themselves.

Most companies end up using two of these in a year: a printer for joining merchandise, and a maker or hamper company for Diwali and client gifts.

The six-point test for any supplier

Once you have two or three names of the right kind, test each one on the same six points. Ask for the answers in writing, in the quote, not on a call.

Test What a good answer looks like How to check it Raajkosh's answer
The real product Photos of the actual piece, a listed shop price, materials named Buy one piece from their shop before the bulk order Every piece is on the shop with its price; for example Diya Candles Rs 449 for six, Shankh Candle Rs 799
Minimum order A number in gifts, not a vague "bulk only" Ask if 10 or 25 is accepted From 10 gifts, no minimum order value
Branding Exactly where the logo goes, with a proof Ask for a mock-up of the tag or card Logo on the gift tag, note card or a wax seal, confirmed in the quote
Tax paperwork GST invoice in your company's name and GSTIN Ask for the supplier's GSTIN up front GST invoice; Raajkosh GSTIN 03AEMPG4934K1ZF
Delivery One office, or every address on a list Ask how they take the address list One office or every address across India; the list is asked for once the quote is agreed
The date A timeline confirmed in writing before you pay Make the quote state the timeline Lead time depends on quantity and date and is confirmed in the quote

A supplier who will not put the timeline and the branding in the quote is the one to drop, whatever the price.

Weigh the six points for your occasion

Not every point matters equally. For a Diwali gift to 150 homes, delivery to many addresses and the date matter most. For 12 client gifts, the product itself and the card matter most. For joining kits that go out every month, a low minimum matters most, because a supplier that wants 100 units cannot serve a batch of eight joiners.

Two checks people skip:

  • Return rules for branded goods. Almost every supplier refuses returns on branded items. Ours too: branded and personalised gifts cannot be returned unless damaged, defective or wrong, and damage must be reported within 24 hours of delivery for a replacement or refund. Know this before you approve.
  • Payment terms. Ask whether it is prepaid or on credit. Raajkosh orders are prepaid, as set out in the quote. There is no cash on delivery.

Where a handmade maker is the right supplier, and where it is not

A maker is the right choice when the gift should feel personal and be kept at home: a festive gift, a joining gift, a work anniversary or a client thank-you. You also deal with the people who make the piece, which helps when you want colours to match a brand or names on tags.

We are the wrong supplier if you need your logo printed on the product, apparel or gadgets, a guaranteed delivery date we have not confirmed in a quote, or a gift for an office that bans open flames (a candle can stay unlit as decor, but then choose something else). We are also new to corporate gifting, so we have no list of past clients to show you. Our terms and products are all on the site; you can read who we are at Is Raajkosh genuine? and our corporate terms in one place at Raajkosh corporate gifting: minimum order, logo, GST.
