Can corporate gifts be claimed as a business expense in India? Ask your accountant, and keep these papers ready

Whether your company can claim corporate gifts as a business expense, and how much tax credit applies, is a question for your accountant, because it depends on your business and the current rules. What you can do is buy from a supplier who gives a proper GST invoice with your GSTIN. Raajkosh does, from 10 gifts.

Key takeaways

  • Whether gifts can be claimed, and how, is your accountant's question, not your supplier's.
  • Keep a GST invoice in the company's name, the quote, the recipient list, the reason and proof of payment.
  • Ask your accountant before the order, not at year end.
  • Raajkosh gives a GST invoice with your GSTIN on every corporate order (our GSTIN 03AEMPG4934K1ZF).

The honest answer: your accountant decides, not your gift supplier

This is one of the most common questions an HR or admin team asks before a festive order, and the answer you will get from a gift seller should be short. Check with your accountant or chartered accountant. How gifts to employees, clients or dealers are treated in your books, and what tax credit is available, depends on your company, who receives the gift, why it was given and the rules in force when you buy. We are a candle maker, not tax advisers, and we will not give you a rule here.

What a supplier can do is make your accountant's job easy. That means the right paperwork, in the right name, every time.

Five things to have ready before you ask your accountant

Accountants tend to ask the same questions about a gift order. Have these ready and the conversation takes minutes:

  1. A GST invoice in your company's name. Billing name, billing address and your GSTIN, exactly as registered, plus the supplier's GSTIN and the tax charged. An invoice in an employee's personal name causes trouble later.
  2. The quotation or purchase order you approved, showing what was bought and the price per gift.
  3. Who received the gifts. Employees, clients, dealers, event guests. Keep the list or the address sheet.
  4. Why they were given. A Diwali gift to all staff, a client thank-you, a joining kit, an event giveaway. One line in the approval email is often enough.
  5. Proof of payment from the company account or company card.

Your accountant may ask for more, or less. Ask them before the order, not at year end.

The papers to ask each kind of supplier for

Kind of supplier Ask them for Check before you pay
Large gifting portals A GST invoice in the company name That your GSTIN is entered before checkout
Corporate gifting companies Quotation, then a GST invoice against your purchase order Whether one invoice covers all deliveries
Merchandise printers Quotation and GST invoice That branding charges are itemised
Small makers and home businesses Their GSTIN, first That they are GST-registered at all
Marketplaces The invoice from each seller Several sellers can mean several invoices

What Raajkosh gives you for your books

Raajkosh is a registered seller: GSTIN 03AEMPG4934K1ZF, Reetu Goel, sole proprietor, trading as RR Creations (brand: Raajkosh), Jalandhar, Punjab.

  • A GST invoice with your company's billing name, address and GSTIN on every corporate order.
  • A quote first, listing the pieces, branding, timeline and price per gift with GST, so the approval and the invoice match.
  • One address or many: delivery to one office or to every address on your list, with the quote and invoice in your company name.
  • Shop prices include GST. At today's shop prices per piece: Blossom Candle Rs 299, Vanilla Reverie Rs 549 (our one scented candle, vanilla), Floral Candle Duo Rs 649. Your quote confirms the final price per gift with branding and delivery.

Corporate orders start at 10 gifts with no minimum order value, the logo goes on the tag, the note card or a wax seal, and payment is prepaid as set out in the quote. All of it is on our corporate gifting terms page.

When to buy from someone else

If your accountant tells you a particular kind of gift, or a gift above a certain value, is treated differently, follow that advice even if it rules our candles out. If you need credit terms or one invoice covering gifts, sweets and gadgets from a single supplier, a larger corporate gifting company that stocks all of them will be simpler. And if fewer than 10 people are on the list, order straight from the shop instead of asking for a corporate quote.

Get a quote with your GST details on it

Send the number of gifts, your budget per gift, your date and your company's billing name and GSTIN at raajkosh.com/corporate, or WhatsApp +91 85958 24586. Then take the quote to your accountant before you approve it.
