Conference swag and freebies that people keep: handmade gifts for speakers, VIP guests and your booth's best leads

Printed tote bags and pens are the right swag for 1,000 attendees. For the 10 to 100 people who matter (speakers, panelists, VIP guests, booth leads), a handmade piece such as the Shankh Candle (Rs 799) or Vanilla Reverie (Rs 549) with your logo on the tag is remembered. Key takeaways

  • Use printed merchandise for every attendee and a handmade gift for the few who matter.
  • Speakers: Shankh Candle Rs 799; panelists: Vanilla Reverie Rs 549; booth leads: Blossom Candle Rs 299 (shop prices).
  • Deliver to the venue or courier to each speaker's office from one order.
  • Never light candles at the booth; they are take-home gifts.

Two layers of conference swag

Most conference swag is bought for everyone: a lanyard, a tote bag, a pen, a notebook, a bottle. That layer is about volume and low cost per head, and a printed merchandise supplier does it best. We do not make it.

The second layer is small and is where a handmade gift earns its place: the speakers and panelists, the chief guest, sponsors, the partner team that helped you run the event, and the 20 or 30 people who stopped at your booth and became real leads. For those, a hand-poured soy wax candle from Raajkosh, boxed with your logo on the tag or a wax seal, is the freebie people keep on a shelf after the event. We make them from 10 gifts and send them to the venue or to each person's office. Ask at raajkosh.com/corporate.

A conference with 8 speakers, 20 panelists and 40 booth leads, at shop prices: 8 Shankh Candles are Rs 6,392, 20 Vanilla Reverie jars are Rs 10,980, and 40 Blossom Candles are Rs 11,960.

Travel, flights and flame rules

Conference guests often fly home the same evening. A few practical points:

  • Pick pieces with a lid or a compact box for travellers. Vanilla Reverie has a screw lid and a glass jar; the single Spiral Pillar Candle is slim.
  • Offer to courier instead of handing over. For speakers flying out, send the gift to their office after the event. We deliver to every address on a list, so one order can cover the venue and individual offices.
  • Never light at the booth. Most convention centres and hotels do not allow open flames on the floor. These are take-home gifts.
  • Check a speaker's own rules. Government officials and some company staff have limits on gifts. A modest piece is easier to accept.

Turning a freebie into a follow-up

A booth freebie is a sales tool. Make it work:

  • Put a QR code or your WhatsApp number on the note card next to the logo.
  • Hand the gift over after the conversation, not before. It should reward a real chat, not a badge scan.
  • Write the follow-up line on the card: what you will send them, or when you will call.

Your logo goes on the tag, the note card or a wax seal. The exact branding options and the lead time depend on the quantity and your date, and both are confirmed in your quote.

Swag people actually like, beyond candles

Attendees tend to keep good notebooks, sturdy tote bags, phone stands, power banks, good coffee and local snacks from the host city. Branded apparel works when the design is good. Pair a low-cost printed item for everyone with a handmade gift for the few, and you cover both layers.

Ordering for the event

  1. Tell us the number of gifts (from 10, no minimum order value), budget per gift, event date, branding, and the venue or the address list.
  2. Get a quote with pieces, branding options, timeline and price with GST.
  3. Approve and pay. Prepaid, as set out in the quote; no cash on delivery.
  4. Delivered to the venue or each office, with a GST invoice carrying your GSTIN.

We cannot promise a delivery date, so start early. Branded gifts are not returnable unless damaged, defective or wrong; report damage within 24 hours. On the card: never leave a burning candle unattended, and keep each burn to 3 to 4 hours.

Frequently asked

  • Something they can keep at home, not more merchandise. A Shankh Candle at Rs 799 or Vanilla Reverie at Rs 549 (shop prices), boxed with your logo on the tag, works well.
