What to check before you pay for a bulk corporate gift order online: a ten-line checklist for HR and admin teams
Before you pay for a bulk corporate gift order online, confirm ten things in writing: the final headcount, the exact piece, the branding proof, the GST details, the address list, who receives at each office, the timeline, the payment terms, the return rule for branded goods and the damage window. With Raajkosh, all of these are settled in the quote before you pay.

Key takeaways
- Most bulk gift problems start after payment: settle ten things in the quote first.
- Add two or three spares to the final headcount.
- Send names and addresses as text and read them once more: personalised tags cannot be returned.
- Raajkosh confirms branding, timeline and price with GST in the quote; orders are prepaid.
Ten things to settle before money leaves the account
Most bulk gift orders go wrong after payment, not before: a name spelt wrong on 40 tags, a GSTIN missing from the invoice, 12 parcels sent to a closed office. The fix is a short checklist you run before you approve the quote. Here it is, in the order you will need it:
- Final headcount, plus spares. Freeze the number, then add two or three for late joiners and a damaged parcel.
- The exact piece. Product name, size and colour, not "a candle gift". Ideally you have held one.
- Branding proof. A picture of the tag, card or seal with your logo, approved by whoever owns the brand.
- Card wording. Who signs it, and whether names go on each card.
- GST details. Your billing name, address and GSTIN, exactly as finance wants them.
- Address list. One office, or a list with names, phone numbers and pincodes.
- Who receives. At an office, a named person on the delivery days.
- Timeline. In the quote, in writing.
- Payment terms. Prepaid or credit, and what the quote says.
- Returns and damage. What happens if a parcel arrives broken.
The checklist, with what to send the supplier
| Check | Why it matters | What to send or ask | How Raajkosh handles it |
|---|---|---|---|
| Headcount and spares | Re-ordering two gifts later costs more time than ordering them now | The final number | Corporate orders from 10 gifts, no minimum order value |
| The piece | Photos flatter; you want the real thing | Buy one from the shop first | Every piece is listed with its shop price, e.g. Sunflower Tealights Rs 449 for ten |
| Branding proof | The logo is the part people judge | Logo file, brand colours | Logo on the gift tag, note card or a wax seal, confirmed in the quote |
| GST details | Finance will reject an invoice in the wrong name | Billing name, address, GSTIN | GST invoice in your company's name; our GSTIN 03AEMPG4934K1ZF |
| Address list | Each wrong pincode is a lost gift | A clean list in one file | Asked for once the quote is agreed; one office or every address across India |
| Timeline | Festivals move faster than suppliers | Your needed-by date | Lead time depends on quantity and date and is stated in the quote |
| Payment | Avoid surprises at dispatch | Ask the terms | Prepaid, as set out in the quote; no cash on delivery |
| Returns | Branded goods are rarely returnable | Ask the rule | Branded and personalised gifts are not returnable unless damaged, defective or wrong |
| Damage | Breakage happens in transit | Ask the reporting window | Report within 24 hours of delivery for a replacement or refund |
Three checks people forget
Spell-check the names. If tags carry names or initials, send the list as text, not a screenshot, and read it once more before approving. A personalised tag with a wrong name cannot be returned.
Tell recipients a parcel is coming. For home deliveries, a one-line email from HR ("a small Diwali gift is on its way") stops people refusing an unexpected parcel and helps them report damage within 24 hours.
Check the festival date against the timeline, not the other way round. Write your needed-by date in the enquiry. For shop orders our site currently says "Order by 4 November for Diwali delivery"; for a branded corporate order, the date that counts is the one in your quote.
Pieces that travel well in a bulk order
Bulk orders suit pieces that are the same for everyone and pack compactly:
- Sunflower Tealights: ten ivory tealights in clear cups with yellow wax sunflowers, Rs 449 shop price.
- Heart Bubble Candle: a small bubble candle in white or light blue, Rs 249, for a desk.
- Blossom Candle: ivory with a ring of wax blossoms, Rs 299.
- Vanilla Reverie: our one scented candle, vanilla, in an amber jar with a screw lid, Rs 549.
These are shop prices; your quote confirms the final price per gift with branding and delivery.
When to stop and use a different supplier
If your checklist says "logo printed on the item", "delivery guaranteed by a fixed date we have not confirmed", or "no open flames in the office", a candle maker is the wrong supplier. A merchandise printer, a portal with express delivery or a non-flame gift will serve you better.
Raajkosh is new to corporate gifting, so the honest proof we offer is on the page: products, prices and terms. All our corporate terms are in one answer page.
